As the athletic director for the Davidson County school system, communicating with the school board, principals and coaches is essential. And that means writing.

Today, you're preparing an email memo that will go out to all coaches at all county schools. The memo is to apprise the coaches of a newly passed school board regulation that all athletes must have health insurance to participate in school athletic programs. Every student must provide proof of health insurance within 45 days.

For students who do not have health insurance, the school board has arranged a low-cost policy that will cover the athlete at the parent's expense. The insurance policy will cover the athlete during practices, games and transportation to and from the games.

The memo you're writing should outline the new regulation, illustrate the options students have and emphasize the need for proof of insurance or completed applications for coverage. Those documents must be on your desk within 45 days or students not providing them will be dropped from all athletics programs.

Remember that the memo should be powerful, moving coaches to take immediate action. It should also be professionally written, with no grammatical errors or spelling mistakes. Be as succinct as possible.
