Real-Life Communication -- Solution

Here are some things you could do to improve communication:

  1. Explain each step in the grading process as you do it so that others can follow along and learn the process.
  2. Always carry the official manuals with you and be prepared if there is a dispute to point out the regulations that you must follow. Explain that you didn't write the books, but have been trained to interpret and implement them.
  3. Discuss the perceived problem with the load with the importer. Look at examples provided by the importer to see what they think the problem is and discuss whether it is in or out of grade and why.
  4. Offer seminars or training sessions for receivers and importers to educate them on the job of a grader.
  5. Encourage the importer to have clear discussions with suppliers as to what is needed and what can be supplied.
  6. Take the time to learn about the jobs being done by your clients -- receivers, shippers, importers, truckers and growers -- so that you understand their position and can relate to their issues and concerns.

To improve communications, grader Jeffrey Honey has written material for a three-day seminar for receivers to help them understand his job.

"I teach these people how to read and understand grade standards and how to apply percentages to the grade standards and decide if a load meets or fails grade," says Honey.

"This was like writing 20 term papers and presenting them to an audience of people from Grade 6 to university grads. I had to take a lot of government speak and turn it into simple English with easy-to-understand examples that were still 100 percent on topic."
